Summary
The primary responsibility is to support Operations in planning and executing projects. The position will assist in all aspects of the projects from beginning to end with main focus and responsibility for resource scheduling, procurement and inventory control, project documentation, invoicing material and labor budget. The position will work in a collaborative team environment alongside sales, engineers, project managers, technical staff and senior leadership through the completion of the projects. The position will be assisting project success and management by acquiring resources and coordinating efforts of the team to deliver projects according to plan.
Essential Functions
• Create project and tickets in ConnectWise from Marked won opportunities from inside sales, confirming customer PO matches quote
• Schedule Sales to Operations turn over meeting
• Coordinate project resource scheduling based on outcome of weekly project meetings
• Issue purchase orders based on activities received from PM
• Assist corporate accounting in reconciling vendor invoices when there is a discrepancy with our purchase order
• Manage RMA for all defective equipment and ensures any error in ordering or unused material is returned for credit
• Manage receiving of orders, inventory material, and assign material to the project
• Issue material to the project lead and obtains signature for tracking material
• Update project budget and labor tracking spreadsheets (bi-weekly estimate to complete reporting)
• Communicate installation scheduling with customers
• Enters installation teams work schedule in ConnectWise
• Work with operations on resource planning, availability and allocation according to projects pipeline (resource forecasting)
• Participate in team's project status reviews
• Ensure project documentation and final deliverables are uploaded under the documentation tab in ConnectWise upon project closeout
• Assist the PM in the drafting and issuance of change orders, budgets, and preliminary schedules
• Create CO phases in CW with associated won opportunity for CO
• Prepare project sign off documentation, close project/service tickets, and send activity to be invoiced
• Assist the Operations Administration Manager in training new Branch Coordinators
• Assist in job site walk through with customers, and members of the team
• Assist the Operations Administration Manager during Erate season with setting up projects and drop shipments
• Other relative duties as assigned
Minimum Qualifications
• High School Diploma, Associates Degree preferred
• At least 2 years of experience as Branch Coordinator
• Experience with ConnectWise, a plus
Knowledge, Skills and Abilities
• Intermediate to advanced level in Microsoft Products, including but not limited to Excel, Word, and Outlook
• Strong organizational skills
• Excellent oral and written communication skills, competency in grammar, and excellent attention to detail
• Ability to build strong working relationships at all levels, both internal and/or external to the organization
• Ability to multi-task
• Detail oriented

Work Environment
This job operates primarily in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. May occasionally require business travel.
