The Business Manager will support the foundational implementation and ongoing operations of the Jaguar Health and Wellness Facility at UHV. This role is responsible for overseeing financial management, establishing administrative and operational processes, coordinating with vendors, ensuring compliance, managing the campus ID card system for facility access, aiding in building supervision, supporting staff recruitment and training, assisting with customer service and program coordination, and performing other assigned duties. The Business Manager will collaborate with internal departments, external partners, and stakeholders to ensure an efficient, compliant, and student-centered wellness environment.
Duties and Responsibilities (with % of Time)
1. Financial Management & Budgeting (30%)
Develop, manage, and monitor operating budgets, financial models, and cost projections. o Oversee revenue tracking, expenditure controls, and financial reporting.
Ensure compliance with university policies, state regulations, and best practices for financial stewardship.
2. Administrative Setup & Process Development (20%)
Establish and refine administrative workflows, including procurement processes, contract management, and record-keeping systems. o Integrate UHV policies and procedures into day-to-day facility operations.
Coordinate closely with finance, HR, and procurement units to ensure smooth administrative functioning.
3. Vendor & Partnership Coordination (10%)
Identify, negotiate, and maintain relationships with vendors, service providers, and wellness programming partners. o Ensure cost-effectiveness, timely delivery, and quality of goods and services.
Collaborate with healthcare and insurance partners to support facility offerings.
4. Campus ID Card Processing & Distribution (10%)
Oversee the issuance and management of campus ID cards for facility access.
Coordinate with campus security and IT to ensure secure, efficient access control. o Maintain accurate records of ID card inventory and user data.
5. Assistance with Building Supervision (5%)
Support the Director in overseeing building operations, including room scheduling, facility readiness, and safety measures.
Liaise with maintenance, custodial, and security teams to uphold a clean, safe, and welcoming environment.
6. Staff Recruitment & Training Support (5%)
Collaborate with HR and leadership to identify staffing needs, develop job descriptions, and assist in the hiring process. o Participate in onboarding and train staff on administrative protocols, financial procedures, and compliance standards.
Support professional development initiatives to foster a skilled and cohesive team.
7. Compliance & Policy Development (10%)
Develop, implement, and update operational policies and guidelines, ensuring adherence to institutional, state, and federal regulations.
Maintain compliance with data privacy and confidentiality standards (e.g., HIPAA).
Regularly review and revise policies to ensure ongoing compliance and continuous improvement.
8. Customer/Student Service & Program Coordination (5%)
Assist in responding to inquiries, concerns, and feedback from students, staff, and visitors.
Coordinate with programming staff to support the delivery of wellness events, classes, and initiatives.
Help evaluate programs and services to enhance the overall student experience.
9. Performs Other Duties as Assigned (5%)
Adapt to changing priorities and undertake special projects or tasks at the request of leadership.
Support the holistic growth and sustainability of the facility as it matures beyond the implementation stage.
Minimum Qualifications: Education: A bachelor's degree in Business Administration, Finance, Accounting, Health Administration, or a related field is required. A master's degree is preferred. Experience: 3-5 years of experience in business management, financial oversight, or administrative coordination. Experience in a healthcare, wellness, or higher education setting is highly desirable.
