Receptionist (Finance)
Reporting to the Facilities and Events Manager, the receptionist serves as the first point of contact for faculty, staff, students, and external guests, ensuring a welcoming, professional, and efficient environment. This role oversees the main lobby reception, manages front desk operations, and provides administrative support. The Receptionist will also oversee Honors Ambassadors (HAs), managing their schedules and ensuring they fulfill their responsibilities effectively. The incumbent will possess strong organizational and communication skills, a customer-service oriented mindset, and the ability to multitask in a dynamic environment.This position requires a high school diploma or equivalent, with two or more years of experience in an office or administrative support position. Associate or Bachelor's degree preferred. Prior experience in a receptionist, customer service, or administrative role is a plus.The University of South Florida is a high-impact global research university dedicated to student success. • Greet and direct faculty, staff, students, and external guests courteously and professionally.
• Answer and route phone calls, take messages and respond to inquiries efficiently.
• Manage visitor check-ins, ensuring security protocols are followed.
• Maintain an organized and welcoming reception area.
• Coordinate and manage front desk operations, including scheduling and tracking daily activities.
• Handle incoming and outgoing mail, packages, and deliveries.
• Assist ordering office supplies.
• Assist with data entry, filing, and document preparation.
• Maintain office supplies and coordinate restocking as needed.
• Support event logistics, including room reservations and setup coordination.
• Oversee Honors Ambassadors (HAs), including scheduling and ensuring proper coverage.
• Track working hours for HAs
• Serve as the primary point of contact for HAs, providing guidance and support.
• Monitor and ensure compliance with building policies and operational procedures.
• Manage reserved parking spot and golf cart reservations and ensure appropriate usage.
• Oversee lost and found operations.
• Perform daily walkthroughs upon arrival to ensure the building is free of damage and potential
threats to operations
• Enforce building policies and provide basic security assistance when needed.
• Liaise with internal departments and external vendors to ensure smooth facility operations.
• Report maintenance or security issues promptly to the appropriate departments.
• Provide support for events, special projects, and administrative initiatives as assigned.
