ORGANIZATIONAL SUMMARY:
The USF Institute for Applied Engineering (IAE) is a Florida not-for-profit corporation and USF Direct Support Organization organized to support and benefit the University of South Florida. IAE provides agile, best value engineering products and services to enhance the performance, effectiveness and safety of its customers, including the Department of Defense; other federal, state and local agencies; and industry. POSITION SUMMARY:
Project Coordinators are responsible for ensuring the schedule, budget and details of a given task are well organized. They communicate with various departments to keep everyone on board about any changes to the project plan. In addition, they organize reporting, plan meetings and provide updates to project managers.
SPECIAL REQUIREMENTS:
Communication skills: Project coordinators interact with many individuals throughout the life cycle of a project, such as project managers, project sponsors, stakeholders and of course, the project team. For this reason, project coordinators must demonstrate excellent communication skills.
Problem-solving skills: There will be issues, challenges and different types of problems, big and small. For this reason, project coordinators must have problem-solving skills that allow them to quickly come up with solutions and strategies.
Change management skills: As projects are executed, there are many variables to control, and many situations that might force the project management team to make changes to the original project plan. Project coordinators must be able to adapt to these changes.
Organizational skills: Project coordination, as its name suggests it's a demanding field that requires organizational skills such as time management, delegation, planning, goal setting and decision-making, among others that'll help the project coordinator be on top of his own duties and responsibilities and monitor the performance of others.
RESPONSIBILITIES:
Assist the project manager in the development of project management documents such as project budgets, project schedules, statements of work, project proposals, and project plans.
Write and edit proposals for various IAE projects, ensuring they are aligned with the project scope, objectives, and client expectations. Conduct research and analysis to support proposal development and identify potential funding sources.
Manage internship processes for all IAE projects. Assign tasks to team members and help them understand what's expected from them in terms of project milestones and deliverables.
Execute project management administrative and bookkeeping tasks such as managing invoices, purchase orders and inventory reports, among other financial documents.
Meeting with project clients to assess their needs and define project requirements, acceptance criteria and project timelines.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
Bachelor's degree and one year of administrative experience. Education can be substituted with any combination of relevant experience.
FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.
PREFERRED:
Proposal writing, communication, and exposure to government acquisitions processes preferred.
